I emphasize one thing a lot.

This is one of the first lessons I learned while I was the COO of a multi-7-figure organization, 1-800-GOT-JUNK?.

As a COO, your job is to make other team members’ lives easier.

This doesn’t mean you should give them less work.

You should give them clear & structured work.

In today’s post, we will take a look at a checklist that will help you give clear work to your HR.

Let’s talk about the most dreaded, paperwork-filled, chaotic HR function: Onboarding.

You need to have a porcelain smooth onboarding process for your new hires.

It gives a better first impression –

that will snowball throughout their professional career with your company.

Instead of giving them a binder full of paper & some coffee in their new mug…

…give them a structured checklist in hand.

Make them cross off a step every time they have completed one.

This gives them an end in sight & makes your company more organized.

I learned this technique from an acquaintance in the Young Presidents Organization.

I now suggest this to all my COO Alliance members.

But what if you don’t have a checklist?

Here are a few activities during a new hire onboard that you can get some ideas from:

Collect Employee Details:

  • Full Name
  • Email Address
  • Mobile Number
  • Address
  • Tax Details

 

Employee Contracts:

  • Job Title
  • Salary
  • Schedule
  • Details of Benefits Package
  • Duties, Expectations & Responsibilities
  • Duration of Position/Probation
  • Termination Conditions

 

Legal Forms:

  • W-4 Form
  • I-9 Employee Eligibility Verification Form
  • State Tax Withholding Form
  • Direct Deposit Form
  • E-Verify System
  • Anti-Harassment Documentation

 

Welcome Kit:

  • Employee Handbook
  • Welcome Gift
  • Welcome Letter From The CEO
  • Agenda For The First Day (Besides the Paperwork)
  • Employee ID
  • Parking Pass
  • Business Cards
  • Office Equipment like computers, phones, etc.

 

Getting Them To Gel With The Company:

  • Orientation on the Products & Services Your Company Sells
  • Organize a Lunch With Key Team Members
  • Take Them on an Office Tour
  • Invite them to the upcoming events

There you have it – a somewhat accurate checklist for onboarding a new employee.
